Lead with the specific event
Include the order or shipment reference, affected SKU, relevant dates, and what your team expected to happen. Describe what you observed separately from what you think caused it. If photos or documents help, use the agreed support channel and share only the information needed for the investigation. A precise report saves the account team from reconstructing the basic facts through several messages.
Explain the decision you need
Tell the provider whether you need a stock check, an order hold, a replacement decision, or an explanation for your customer. Include the timing that matters and why. Ask the team to confirm what can still be changed. Avoid assuming a warehouse can reverse work that has already happened; the useful answer may be a recovery option rather than the original request.
Keep ownership visible
Record the person handling the issue and the next update time. If the issue moves between customer support, inventory, and warehouse operations, ask who remains accountable for closing it. Escalation should clarify ownership, not create parallel conversations with different facts. Keep one main record and link any supporting material so the latest status is easy to identify.
Review repeated patterns together
Once an individual issue is resolved, ask whether it points to a recurring instruction, data, packaging, or process problem. Bring a small set of examples to the account review and agree how an improvement will be checked. Distinguish the immediate correction from the longer-term change. This gives both teams a way to learn without turning every exception into a broad judgment about the partnership.

Research scope and provider sources
This is original buying guidance, not an account of a facility visit or a customer interview. Examples are hypothetical. Provider sources support their published service descriptions; confirm the proposed account scope directly.
